Year-end giving statements
Open the gift list your organization keeps: one row per gift with the donor, date, amount, and fund. Each donor gets one statement listing their gifts and totals by fund, and the statements are added back up and compared with the gift list. Organization details and all wording on the statement are typed by you.
The gift list is read in your browser and stays on this device. Nothing is uploaded.
The file is read in this browser and is not uploaded.
These are matched from the header words. Check them and change any that are wrong. Donor name, gift date, and gift amount are needed; the rest are optional.
Everything here is your own wording and is printed as typed. Leave a box empty to leave it off.

Statements
This tool arranges and adds up the gifts in your list. It does not decide what a statement has to say; the wording is yours.
What gets checked
- Every gift in the list is on exactly one statement.
- Every gift is on the statement of its own donor, and every donor has exactly one statement.
- Each gift printed on a statement shows the date, fund, amount, and value received in return that the gift list has for that row.
- Each statement carries the name, address, and email recorded on that donor's own gifts.
- Each statement's total, gift count, and fund totals are that donor's rows in the gift list added up again.
- Each statement's value received in return is the sum of the values recorded on that donor's gifts, and the statements add up to the gift list overall.
- The statements add up to the gift list for every fund and overall, by amount and by number of gifts.
- These checks are made by a separate routine that goes back to the gift list and shares no arithmetic with the one that builds the statements.
- When deposits per fund are typed, the gift list equals them for every fund.
- Zero or negative gifts, and gifts dated in more than one calendar year, are flagged as warnings.
- Every row with data is accounted for: used, listed as left out (with its row number and the reason), or listed as unreadable. An unreadable row marks the result not verified.
How it works
- Open the gift list. Drop a .csv or .xlsx file with one row per gift. It is read in the browser.
- Check the column mapping. Columns are matched from the header words: donor id, donor name, email, address, gift date, amount, fund, and, when the list has them, a description and value of anything the donor received in return. Any choice can be changed.
- Type what goes on the statement. Organization name and details, the period shown, and the closing wording are typed by you and printed as typed. Deposits per fund can be typed to tie the gift list to the bank or the books.
- Build, review, and print. One statement per donor is built with the verification certificate. Print the statements one per page, or download Excel or CSV.
Worked example
A made-up gift list with seven gifts from three donors across three funds. Three of the gifts record the value of something the donor received in return (an event ticket, a benefit dinner, a gala seat).
| Donor | Gift date | Fund | Amount | Value received in return |
|---|---|---|---|---|
| Avery Lindqvist | 2026-01-11 | General | $250.00 | |
| Blake Oyelaran | 2026-02-02 | General | $100.00 | $25.00 |
| Avery Lindqvist | 2026-03-20 | Building | $500.00 | |
| Casey Marchetti | 2026-04-05 | Missions | $75.50 | |
| Blake Oyelaran | 2026-06-14 | Building | $300.00 | $80.00 |
| Casey Marchetti | 2026-09-01 | General | $1,000.00 | $45.00 |
| Avery Lindqvist | 2026-12-24 | Missions | $125.25 |
Three statements: Avery Lindqvist 3 gifts, $875.25, nothing recorded as received in return; Blake Oyelaran 2 gifts, $400.00, with $25.00 + $80.00 = $105.00 recorded as received in return; Casey Marchetti 2 gifts, $1,075.50, with $45.00 recorded as received in return. By fund: Building $800.00, General $1,350.00, Missions $200.75. Statements total $2,350.75, the same as the gift list, value received in return totals $150.00 on both, and each fund equals the typed deposits.
The example uses made-up names and numbers.
Questions
Which gift list layouts does it read?
Any .csv or .xlsx with a header row and one row per gift. The tool does not assume one layout: it matches header words, shows its choices, and every column can be changed. When a needed column cannot be found, the page says which one and links to a form for requesting support for that format.
How are gifts grouped into donors?
By the donor id when the list has one, otherwise by the donor name with case, punctuation, and spacing ignored. Two spellings of one donor become two statements; the donor de-duplication tool finds those first.
What wording does the statement use?
Only yours. The organization details, the period line, and the closing text are typed by you and printed as typed. The tool supplies the gift table and the totals; it does not supply or check statement wording.
What does the deposit tie-out do?
When deposits per fund are typed, each fund's gifts are compared with that fund's deposits. A fund that differs is listed with both amounts, and the result is marked not verified until they agree.
How are the statements checked?
By a separate routine that goes back to the gift list and shares no arithmetic with the one that builds the statements. For every donor it adds up that donor's own rows again and compares the total, the gift count, the fund totals, and the value received in return with what the statement says, and it compares every gift printed on a statement with its row in the list. A gift on the wrong donor's statement fails even when every fund total still adds up.
