Schedule of values builder
Enter the contract sum and one row per line of work, each as a percent of the contract or as a fixed amount. The builder works out every scheduled value so the lines add up to the contract sum to the cent, and saves the result as Excel, CSV, or a file the pay application builder opens.

Lines
Fixed lines keep the amount typed. Percent lines share what is left of the contract after the fixed lines, in proportion to their percents. A line marked "spread" (general conditions, overhead) is divided across the other lines by their amounts and does not appear on the schedule.
| Description | Entered as | Percent or amount | Amount before spread | Spread share | Scheduled value |

Summary
The saved file opens in the pay application builder with "Open file". The Excel and CSV exports use the builder's own column headings, which the pay application checker also reads.
What gets checked
- The scheduled values add up to the contract sum exactly.
- The percents total 100%, or the fixed amounts plus the percent lines cover the whole contract (to the nearest 0.01%).
- No line is negative, and fixed amounts are not more than the contract sum.
- Amounts spread across the other lines add back to the amount being spread.
- A second pass with separate whole-number arithmetic re-adds every column and confirms each percent line is within one cent of its exact share.
How it works
- Enter the contract sum. Type the contract sum the schedule has to add up to, and a project name for the file names.
- List the lines. Add one row per line of work. Choose percent of contract or fixed amount for each, and type the percent or the amount.
- Mark any lines to spread. A row such as general conditions or overhead can be marked as spread. Its amount is divided across the other lines in proportion to their amounts, and it does not appear as a line of its own.
- Read the scheduled values. Each row shows its amount before spreading, its share of the spread, and its scheduled value. Leftover cents go to the lines with the largest fractions, so the total is exact.
- Export or hand it to the builder. Download Excel or CSV, print, or save a file that the pay application builder opens as application 1 with nothing billed yet.
Worked example
A made-up framing subcontract for $250,000.00. Mobilization is a fixed $12,500.00; three lines are percents of the contract; general conditions at 10% is spread across the other four lines.
| Line | Entered as | Amount before spread | Spread share | Scheduled value |
|---|---|---|---|---|
| Mobilization | Fixed $12,500.00 | $12,500.00 | $1,388.89 | $13,888.89 |
| Rough framing | 40% | $100,000.00 | $11,111.11 | $111,111.11 |
| Roof framing | 25% | $62,500.00 | $6,944.44 | $69,444.44 |
| Exterior sheathing | 20% | $50,000.00 | $5,555.56 | $55,555.56 |
| General conditions | 10%, spread | $25,000.00 | −$25,000.00 | spread |
The fixed line leaves $237,500.00, which is 95% of the contract, and the percent lines total 95%. The $25,000.00 of general conditions is divided by each line's amount: the exact shares end in fractions of a cent, and the two leftover cents go to mobilization and exterior sheathing. The four scheduled values add up to $250,000.00.
The example uses made-up names and numbers.
Questions
What happens when the percents do not total 100%?
The coverage check fails and says what the percents total. The lines still add up to the contract sum, because what is left is divided among the percent lines in proportion to their percents, but the result is marked not verified since each line would no longer be the percent typed.
How do fixed amounts and percents work together?
Fixed amounts are taken out of the contract sum first. The rest is then divided among the percent lines in proportion to their percents. The check passes when the percents typed equal the rest of the contract as a percent of the contract sum, to the nearest 0.01%.
How is a spread line divided?
Its amount is divided across every other line, fixed and percent alike, in proportion to each line's amount before spreading. Cents that do not divide evenly go to the lines with the largest fractions, earlier lines first on a tie.
What is in the file for the pay application builder?
The same thing the builder's own Save file button writes: application number 1, the contract sum, the retainage percent entered here, and each line with its scheduled value and zero billed. Open it there with Open file.
